Amundsen Science is the non-profit organization responsible for the management of the scientific mandate of the research icebreaker CCGS Amundsen, Canada’s only icebreaker equipped with state-of-the-art research facilities to support multidisciplinary studies. The Amundsen is accessible to Canadian academics, indigenous researchers, and their partners from government, the private sector and other countries. The ship’s pool of specialized equipment includes scientific systems and portable laboratories that can accommodate the needs of physical, chemical, and biological oceanographers, marine geologists, geomorphologists, geographers, as well as social and medical scientists.

Job Opportunity

Amundsen Science is currently seeking an accounting and contract management technician to meet its accounting and administrative and technical support needs. This position will lead you to work in an experienced and diverse team of coordinators and technicians in support of the Canadian and international oceanographic science community.

Job Summary

Under the close supervision of the Executive Director and in close collaboration with the Finance and Administration Manager, and other members of the Amundsen Science team, the position will involve the following tasks and responsibilities:

  • Coordinate the development of calls for tenders and requests for exemption according to the system implemented at Université Laval, in conjunction with the technical team and the finance and administration manager of Amundsen Science.
  • Track the expenses of the Amundsen Science Society as well as the grant expenses awarded to Université Laval for the CCGS Amundsen.
  • Enter purchase requisitions, payment requests and travel expense reports on the Peoplesoft and Explo systems of Université Laval or via the banking system of Amundsen Science.
  • Follow up on purchases from manufacturers in conjunction with members of the Amundsen Science technical team.
  • Manage insurance records for Amundsen Science’s various equipment and workspaces, including oceanographic instrumentation, material handling equipment, and warehouses.
  • Archive and file documents related to purchase and payment requisitions, including purchase orders, invoices, and delivery notes.
  • Invoice and follow up on accounts receivable from Amundsen Science.
  • Participate in the preparation of annual audit files for Amundsen Science.
  • Participate in the production of annual reports to the granting agencies, primarily for the Canada Foundation for Innovation.
  • Classify, digitize and archive Amundsen Science’s written correspondence.
  • Manage the rental and resale of CCGS Amundsen’s scientific equipment based on its lifecycle and needs.
  • Provide administrative support to management and other team members as required.

Qualifications and Skills

  • Degree in project management, administration, accounting, office automation, or equivalent. Candidates with a different background are invited to apply if the interest in the position and the work team are really present.
  • 1 to 3 years of relevant experience in any field.
  • Interest and experience working in the maritime environment is an asset.
  • Knowledge of the Office suite (Word, Excel and Outlook).
  • Bilingualism essential – (French and English).
  • Knowledge of the Peoplesoft and Explo systems of Laval University, an asset.
  • Knowledge of accounting software (e.g. Sage 50), an asset.
  • Knowledge of Université Laval’s tendering and service contract awarding system is an asset.
  • Interest in oceanographic instrumentation and associated measuring devices is an asset.

Workplace

Amundsen Science is based at Laval University in Quebec City, Canada. Teleworking possible (to be discussed). A computer station and the necessary equipment will be provided for remote work.

Working Conditions

  • Full-time (35 hours, flexible hours). Annual contract, renewable.
